What we automate

Automation services we provide

Every project includes a process map, a staging run and documentation your team can follow.

Lead routing & CRM

Every lead lands in the right pipeline as soon as the form is sent, with the fields sales needs already filled in.

  • Leads into HubSpot, Pipedrive or GoHighLevel
  • Email, SMS or Slack alerts to the right person
  • Lead scoring and round-robin assignment
  • Follow‑ups that stop the moment someone replies

AI chat & assistants

A site assistant that answers the questions customers would otherwise ask by phone, and hands the rest to your team.

  • Trained on your own pages, services and policies
  • Books appointments or collects contact details
  • Hands the chat to a person when it should
  • Conversation logs you can review and tighten

Booking & payment flows

Multi-step requests, quotes and payments that run from first click to confirmed order without anyone retyping a thing.

  • Booking and quote forms with a live total
  • Stripe payments, deposits and invoices
  • Calendly and calendar sync for appointments
  • Confirmations and reminders by email and SMS

Integrations

The software you already use, talking to each other. Where a ready-made connector runs out, our developers write one.

  • n8n, Zapier and Make workflows
  • Direct API work: FedEx, Twilio, price feeds
  • Webhooks between your site, CRM and inbox
  • Error handling and an alert on every step

Reporting dashboards

Numbers from ads, CRM, calls and sales pulled into one dashboard your team opens on Monday morning.

  • Looker Studio and Google Sheets dashboards
  • BigQuery for larger data sets
  • Scheduled reports delivered to your inbox
  • One definition of a lead across every source

Internal tools

Small custom tools for the work no off‑the-shelf app quite fits: customer portals, admin panels and status screens.

  • Customer accounts and dashboards
  • Admin panels for orders, requests and staff
  • Document, invoice and label generation
  • PHP, Node.js or Python, hosted in your accounts

Process

How we work

Six steps from the first call to a workflow that runs on its own, and every one of them says who on our side does the work.

Discovery

We start with a call about the work your team does by hand: which tasks repeat, which tools are involved and where things get lost. Then we watch one done end to end.

You get: a map of today's process with the steps worth automating marked.

StrategistAnalyst

Design

We draw the new flow before building anything: which system triggers which, what happens when a step fails and who gets told. You sign off on the drawing.

You get: a workflow diagram and the list of accounts and access we need.

StrategistDeveloper

Build

Our developers build the workflow in n8n, Zapier or code and connect it to your CRM, forms, payments and email. Every step gets error handling and an alert.

You get: a working workflow on a staging setup, with test runs you can watch.

DeveloperDesigner

Launch

We run the new flow beside the old one first, compare the results, then switch. Nothing goes live until a real lead has passed through it correctly.

You get: the workflow live in your accounts, first real runs checked by us.

DeveloperAnalyst

Train

We walk your team through what now runs on its own, where to look when something is off and how to make small changes. Everything is written down.

You get: documentation and a recorded walkthrough for the people who use it.

StrategistDeveloper

Support

Workflows depend on other people's software, and that software changes. We watch the alerts, fix what breaks and add the next step when your process grows.

You get: a named person to write to and a fix when something breaks.

Manual steps behind Money Gold's labels

One form submit calls the FedEx API, registers the customer's account and starts the notification chain. Nobody on the client's side opens a shipping portal.

Developers, so nothing is out of reach

When Zapier runs out of connectors, we write the integration. The FedEx API, a live metal price feed and SMTP all sit behind one form on a site we built.

Built to fail loudly

Every step has error handling and an alert to a named person. A lead that gets lost in silence costs far more than one that raises a flag.

Documented and yours

Workflows live in your own n8n, Zapier and CRM accounts, with documentation your team can follow. If we ever part ways, everything keeps running.

One roof

Other services we offer

Automation works best when the site, the forms and the ads feeding it are built by the same people. All of that sits under one roof here.

    Straight answers

    Questions about automation

If yours is not here, ask it directly — a real person answers within 24 hours.

    Ask your question
    What can be automated?
Anything your team does the same way several times a week: routing leads into the CRM, sending follow‑ups, creating labels and invoices, booking appointments, moving data between tools and building reports. The test is simple. If you can write the steps down, we can usually make them run on their own.
    Which tools do you use?
n8n, Zapier and Make for workflows; HubSpot, Pipedrive and GoHighLevel on the CRM side; Stripe for payments, Calendly for scheduling, Twilio for SMS; and Looker Studio, Google Sheets or BigQuery for reporting. When a connector does not exist, our developers write the integration in PHP, Node.js or Python.
Do I need a CRM first?
No. If you do not have one, we help you choose and set it up as part of the project. If you already use one, we connect to it. Plenty of first projects start with a spreadsheet and grow from there.
Will the AI assistant say something wrong?
The assistant is trained on your own pages, services and policies, and it hands the conversation to a person when a question falls outside them. Every conversation is logged, and we review the logs with you in the first weeks to tighten the answers. The assistants we shipped for Wonder Spark and Craft Boys answer questions about the company and pass the rest to the team.
What happens when an automation breaks?
Every workflow we build has error handling and an alert to a named person, so a failure shows up as a message and the lead or order that hit it stays visible. We fix what breaks under the support plan, and most fixes turn out to be a changed field or a connection that needs renewing.
Can you connect the software we already use?
Almost always. Most business software has an API or a ready connector in n8n, Zapier or Make. For anything without one, we write the connection ourselves, which is how a FedEx label and a live metal price feed ended up behind one form on Money Gold's site.
    Who owns the workflows?
You do. Everything runs in your own accounts, from the n8n or Zapier workspace to the CRM and the payment processor, and we document every workflow we build. There is no lock‑in and nothing to migrate if you decide to work with someone else.
    How long does it take?
It depends on how many systems are involved and how much access we get on day one. For reference, Money Gold went from the start of design to a live site with FedEx labels, self-registering accounts and the notification chain in five weeks. After the first call you get a scope with a timeline, and we hold to it.
Do you build custom software as well?
Yes. When a workflow needs its own screens, such as a customer account with shipment status or an admin panel for requests, our developers build it in PHP, Node.js or Python. Money Gold's customer dashboard, with its own label generator inside, is one example.
